Terms & Conditions
Last updated: 23 April 2026
These Terms and Conditions (“Terms”) constitute a legally binding agreement between you (“the User”) and Visit Hartbees, a company registered in the Republic of South Africa with its registered office at Leloko Estate, Mikayla Street, Kosmos, 0261. By accessing our website or mobile applications and utilising our services, you acknowledge that you have read, understood, and agreed to be bound by these Terms.
1. Introduction and acceptance
Welcome to Visit Hartbees. These Terms govern your use of the Visit Hartbees platform, which is available on web, Apple, Android, and Huawei devices. If you do not agree to these Terms, you must immediately cease use of our platform. These Terms are governed by the laws of the Republic of South Africa.
2. Our services
Visit Hartbees provides a digital “One-Stop” concierge platform that enables:
- Master Pass requests: Helping you combine accommodation, cruises, activities, meals, rentals, and events into one itinerary request. Our concierge confirms availability and final pricing with you before any booking is made.
- Entrega: A rapid-response convenience delivery service for essentials (food, beverages, and luxury goods).
3. Account registration and eligibility
- Eligibility: You must be at least 18 years of age to create an account and transact on our platform.
- Accuracy: You agree to provide accurate and complete information during registration.
- Security: You are responsible for maintaining the confidentiality of your account credentials. You must notify us immediately of any unauthorised use of your account.
4. The Master Pass and third-party providers
- Agency role: Visit Hartbees acts as an intermediary (agent) between you and third-party service providers (lodges, boat operators, restaurants).
- Provider terms: When you book a service, you are also bound by the specific terms and conditions of that third-party provider.
- Liability: While we hand-pick our partners, the Company is not liable for the actual performance, safety, or quality of the services provided by third parties.
5. Entrega delivery terms
- Service area: Deliveries are strictly limited to the Hartbeespoort area.
- Fees: Delivery fees are calculated based on distance from the warehouse.
- Age-restricted items: Entrega will only deliver alcohol and tobacco products to users who can produce a valid South African ID or Passport upon delivery.
- Risk: Risk in the goods passes to the User upon successful delivery at the requested location.
6. Payments, pricing, and taxes
- Currency: All transactions are processed in South African Rand (ZAR).
- Pricing: We reserve the right to alter prices for bundles or Entrega items without prior notice, though confirmed bookings will be honoured at the original price.
- Taxes: All prices are inclusive of VAT where applicable unless otherwise stated.
Card payments are processed by Yoco (Pty) Ltd, a PCI-DSS compliant payment gateway. Visit Hartbees does not store card numbers or CVV codes.
7. Cancellation and refund policy
Cancellation rights and refund eligibility depend on the provider's specific policy, which is displayed on the venue detail page before you book.
| Scenario | Default refund |
|---|---|
| Third-party bookings | Subject to the specific refund policy of the lodge or activity provider. A non-refundable service fee may apply. |
| Entrega orders | Cannot be cancelled once the delivery driver has departed from the warehouse. |
| Venue cancellation | Full refund to original payment method. |
Valid refunds are processed within 7–10 business days to the original payment method.
8. Master Pass requests and confirmations
A Master Pass is a request and itinerary, not a payment or admission ticket. No payment is taken when you submit it. The concierge contacts you to confirm partner availability, final pricing, and any provider-specific booking terms.
- Estimate — prices shown while building are indicative and may change after partner confirmation.
- Confirmation — any later payment, cancellation, refund, or check-in requirement is governed by the confirmed provider terms and the payment instructions supplied by Visit Hartbees.
Submitting a request does not guarantee availability. We will tell you when the itinerary is confirmed or when a requested item cannot be fulfilled.
9. Intellectual property
All content on the Visit Hartbees platform — including logos, software code, curated destination photography, and text — is the exclusive property of Visit Hartbees. You are granted a limited, non-exclusive licence to use the platform for personal, non-commercial travel planning. You may not reproduce or redistribute any content without written consent.
10. Prohibited conduct
You may not:
- Use the platform for any fraudulent or illegal purpose.
- Attempt to bypass the Master Pass system to book directly with partners using our proprietary rates.
- Attempt to circumvent rate limiting, authentication, or security controls.
- Use automated tools to scrape content or submit fake reviews.
- Harass our Entrega delivery staff or interfere with warehouse operations.
11. Limitation of liability
To the maximum extent permitted by South African law (including the Consumer Protection Act 68 of 2008), Visit Hartbees shall not be liable for any indirect, incidental, or consequential damages arising from your use of the platform, including:
- A third-party provider's failure to deliver its advertised service.
- Personal injury or property damage at a venue.
- Travel delays, loss of data, or force majeure events (weather, load-shedding, civil unrest).
Nothing in these Terms limits liability for gross negligence, wilful misconduct, or as otherwise required by law.
12. Governing law and jurisdiction
These Terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts in the North West Province or Gauteng, as applicable.
